Background:

The City entered into a Professional Services Agreement with SDI Presence LLC on August 4, 2025, to provide Technology Modernization and Service Delivery Support services during a period when the IT & Innovation Department was operating with two staff vacancies. These services are intended to provide temporary support while the department evaluated its operational needs and continued recruitment efforts.

 

In recent months, the department experienced two additional unanticipated staff departures in key technical roles. This resulted in consultants being asked to provide short-term coverage for certain essential day-to-day functions to maintain system stability and ensure continuity of City operations. These responsibilities were not part of the original planned workload and accelerated the use of contracted hours.

 

To maintain operational stability until vacancies are filled, an additional $80,000 in funding is needed for the current fiscal year. This request does not extend the contract term, expand the scope of work, or increase the City’s long-term reliance on consultant support. It simply provides the minimum resources necessary to bridge essential functions during the final stages of recruitment.

 

Fiscal Impact:

The proposed amendment adds $80,000 to the contract with SDI Presence LLC, bringing the total contract amount to $155,000.  Funding for the proposed amendment is available within the IT & Innovation Department budget in the Information Technology Fund (Fund 830).
